Dear
Vendor:
Applications must be submitted by March 25th, 2008
It’s
time again to start thinking about Sturgis Falls Celebration. I
want to thank you all for your hard work over the years, and am
excited for the opportunity to work with you during the summer of
2008. Last year’s event went very well even with the questionable
weather on Friday. So great job everyone and lets do it again
this year.
This
year we may be looking to add a new vendor or two in order to keep
things new and fresh, so if you have any ideas to create increase
sales and provide new items please let me know. If you have any
questions or suggestions as to how to better our event please feel
free to call or email me.
Please fill out your application completely, rather than writing
“same as last year”. Please include your tent size (10 x 10
rather than 100 sq ft), and lot layout, if you need space outside
of your tent a drawing would be helpful. Also, please include
your electricity needs (example 2 110v 20amp outlets).
Please find enclosed a set of Rules, Regulations, and Guidelines;
an application; and a proposed menu listing. Please read these
over carefully. We ask for your cooperation, since a violation of
any Rule, Regulation, or Guideline may result in loss of tenured
status and/or exclusion from future Celebrations.
Please review carefully the insurance requirements in item #9.
Our agreement with the City of Cedar Falls requires all insurance
certificates to include coverage for products-completed
operations, bodily injury and property damage liability in the
amount of $1,000,000 per occurrence with no less than $2,000,000
in the aggregate. This is a requirement of the City which we must
meet. Therefore please make sure that your insurance carrier
knows of this requirement if you choose to use your own insurance
company. Also note the additional insured must be exactly as
follows:
Sturgis
Falls Celebration, Inc.,
City
of Cedar Falls, Iowa
Cedar
Basin Jazz Festival, Inc.
There
are NO exceptions to these insurance requirements!!
The Sturgis Falls Celebration Board of Directors requires all
Overman Park food vendors to be open for operations during the
entire Celebration. These requirements are listed in item #1.
All Overman Park food vendors must be open on Friday as well as
Saturday and Sunday. All vendors must remain in business
throughout the entire event and closing early, or running out of
food before 6pm on Sunday is unacceptable. Noncompliance with
this rule may result in loss of tenure status, or food item
exclusivity. Please make plans so your group can follow this
requirement.
The loading, unloading and parking areas for vendors will be the
same for this year’s Celebration. Only one vehicle for each group
may be inside the designated parking areas at any one time. There
is no exception to this rule. The one vehicle in this area must
have the group’s parking pass displayed in the front window.
Please notify your group members so that we have no problems with
this rule. This must be done to comply with our insurance
requirements.
Set-up in Overman Park must be done on Thursday. No Friday
set-up will be allowed in Overman Park since entertainment will be
starting early in the day. Set-up in Tourist Park must be
completed by 3:00 P.M. on Friday. There will be no exceptions to
this rule.
The Iowa Department of Revenue has again notified Sturgis Falls
Celebration, Inc. that we must submit a list of all food vendors
to them including the exact name of the vendor and the vendor’s
sales tax number (unless the vendor is a non-profit
organization). Consequently, this information must be provided on
the application form.
Oil disposal units will be available again this year. No oil can
be placed in the dumpsters provided by the Public Works Department
or Black Hawk Waste. If any vendor is found to be putting oil in
these dumpsters, they will be assessed any charges paid by Sturgis
Falls Celebration, Inc. and may be excluded from future
Celebrations.
The use of "exclusive" food items and the tenure policy has not
changed. Please review these rules to make sure that your group
is complying with these policies.
Submitting this application does not guarantee acceptance. Don't
buy foods or spend money in preparation until you have received
official written notification of acceptance. Due to space
limitations and our tenure policy, few (if any) spaces are
available for new vendors.
The Sturgis Falls Board has voted to keep the concession
percentage at 15%. We ask for your cooperation by paying your
fees promptly. Failure to make payment by July 15th may result in
loss of tenured status, exclusion from future Celebrations;
require a prepayment for the next year, or any combination of
these. We therefore suggest that each group make plans well in
advance of the Sturgis Falls weekend to insure prompt payment.
Sincerely,
STURGIS FALLS CELEBRATION BOARD OF DIRECTORS
